In today’s fast-paced world, maintaining an organized contact list is essential for efficient communication, especially for businesses and organizations. How can you achieve this? The answer lies in using tags. In this blog post, we'll explore how to organize your contacts using tags, following a step-by-step guide to streamline your contact management process.

 Introduction to Tags

Tags are simple labels that you can assign to contacts to categorize and organize them. They can be extremely useful for businesses, churches, and other organizations that need to manage large lists of contacts. By tagging contacts, you can easily filter, search, and communicate with specific groups.

 Getting Started: Accessing the Contacts Page

First, log into your account and navigate to the contacts page. In this example, we've entered 324 random contacts, many of which have already been tagged. Creating and managing tags is straightforward. Here’s how you do it:

1. Go to Settings: Navigate to the bottom left-hand side of your screen and click on “Settings.”

2. Scroll to Tags: Within the settings, you’ll find a section for tags. This is where you can create, view, and manage your tags.

 Creating Tags

In the tags section, we've created several different tags for categorizing contacts. Here are some examples:

- Members: For tagging church members.

- Newsletter: For those who have signed up for newsletters or emails.

- Outreach: For contacts obtained through outreach efforts.

- Partners: For ministry partners.

- Visitors: For first-time visitors.

To add a new tag, navigate to the top of the tags section and type in your desired tag name. For instance, you might want to create a tag for "Team" to organize your volunteers, team meetings, and team leads.

 Organizing Contacts with Tags

Once you’ve created your tags, you can start tagging your contacts. To tag multiple contacts at once:

1. Select Contacts: Choose the contacts you want to tag.

2. Add Tag: Click on “Add Tag” at the top and select the tag you wish to apply. For example, if you want to tag outreach contacts as partners, select “Partner.”

If you need to tag an individual contact:

1. Select Contact: Click on the contact’s name (e.g., Laura).

2. Scroll to Tags: Go to the tags section in the contact's profile.

3. Select Tag: Choose the appropriate tag (e.g., “Member”) and click back.

 Filtering Contacts

One of the most powerful features of using tags is the ability to filter your contacts. For instance, you might want to filter contacts based on the state they live in:

1. Filter by State: Scroll down to the state filter and select the desired state (e.g., Texas) and click “Apply.”

2. Filter by Tag: Perform a quick search with an additional tag, such as “Outreach,” to find contacts tagged for outreach efforts in Texas.

This combined filter shows you contacts that meet both criteria, making it easier to target specific groups. You can then send emails or SMS messages directly to these contacts.

Double check your filters when looking up things like states. Often, people fill out online forms which automatically tag their information. For instance, an outreach form may tag new contacts as “Outreach.” However, be vigilant about state abbreviations—contacts may be entered as “TX” or “Texas.” To avoid missing contacts, use multiple filters like TX and Texas.

 Using Tags for Communication

Tags are not just for organization—they enhance your communication efforts. For example, if you want to send a partner letter:

1. Search by Tag: Search for the tag “Partners” to find all contacts tagged as partners.

2. Email or SMS: Quickly send emails or SMS messages to these 107 contacts about upcoming events, like a big crusade or partner luncheon.
